Job Summary:
We are currently seeking for an enthusiastic and dedicated office assistant to join our notarial office on a part-time/reduced-hours basis. While previous experience is considered an asset, we are also open to candidates without a legal background as training will be provided. As an office assistant, the chosen candidate will have a crucial role in supporting the day-to-day operations of the office, ensuring smooth administrative processes and providing exceptional service to our clients. This is an excellent opportunity to gain experience in a professional setting and contribute to the success of our notarial office.
Main Duties and Responsibilities:
Greet and welcome clients, ensuring a professional and friendly atmosphere.
Provide general administrative support to the notarial office, assisting with day-to-day operations.
Prepare and organize office documents, records and files, ensuring they are properly maintained and easily accessible.
Handle incoming and outgoing communications, including answering phone calls, responding to emails, and managing appointments and schedules.
Assist in basic bookkeeping tasks, such as recording expenses and maintaining financial records.
Coordinate office supplies and equipment, ensuring availability and proper functioning.
Perform general administrative duties, such as photocopying and scanning.
Required Knowledge, Skills, and Experience:
Highly proficient in using Microsoft Office applications, including Word and Excel, with the ability to create and format documents effectively.
Fluent in English and Maltese, both written and spoken.
Excellent verbal and written communication skills.
Excellent organizational skills with excellent attention to detail.
Ability to handle multiple tasks and prioritize workload effectively.
Possess a valid driving license to assist with occasional errands and office-related tasks.
Previous administrative or office experience is considered an asset, but not required. Training will be provided.
Knowledge of legal terminology and procedures is advantageous, but not mandatory.
